Description The Senior Administrative Assistant provides high quality assistance and exceptional customer service to residents, visitors, and the assisted living team following all established protocols and procedures; maintain strict confidentiality of any resident documentation and protected information while providing overall administrative support to the Licensed Assisted Living Administrator (LALFA).
MAJOR ACCOUNTABILITIES/ESSENTIAL JOB DUTIES: - Organize and oversee the administrative activities of the assisted living office and serve as the primary point of contact for the LALFA; provide administrative support to direct reports of the LALFA as needed
- Prepare, compile and distribute all required reports, correspondence, calendars, newsletters and minutes to provide accurate information and materials for effective department and committee meeting communications
- Greet and assist all visitors to the resident services office and provide exceptional customer service, including telephone communication
- Coordinate assisted living apartment refurbishment requests to ensure timely renovation of units
- Organize and maintain all related resident services materials enabling other department professionals to locate such items as needed to ensure a high level of customer service is provided at all times
- Order department supplies, ensure inventory is maintained in an efficient manner and process payment requests and supply requisition forms for signature
- Provide administrative support including coordination, pickup and delivery of department mail
- Present and communicate at all times in a professional and effective manner, modeling desired behaviors expected by employees of the organization
- Additional duties as assigned

- Computers, including Microsoft Office
Requirements PHYSICAL REQUIREMENTS: - Work is primarily sedentary
- Must be able to lift 25 pounds without assistance, 26+ with manual or mechanical assistance
REQUIRED KNOWLEDGE, SKILLS AND ABILITY: - Strong customer service skills
- Effective written and verbal communication skills
- Good working knowledge of Microsoft Office programs, including Excel, Word, Power Point, Outlook
- Ability to organize and maintain operations while making recommendations for process and quality improvement
DESIRED KNOWLEDGE, SKILLS AND ABILITY: - Experience working with AOD or other resident databases
REQUIRED EDUCATION AND EXPERIENCE: - High School Diploma or equivalency
- Two years directly related work experience
DESIRED EDUCATION AND EXPERIENCE: - Associate's degree or college level coursework
- Experience working in a healthcare or retirement environment
