Real Estate Administrative Assistant (Part time M,W, F)

This position has the potential to become full-time.

We’re searching for a diligent real estate administrative assistant to join our team! You’ll be responsible for managing all paperwork in a timely manner, notifying clients of approaching deadlines, ensuring each deal goes through the proper legal channels, scheduling appointments and walkthroughs, and providing superb customer service. In addition, you’ll work with other staff members to market our brand and arrange company events in the community.

Applicants should be extremely thorough, possess great interpersonal skills, and have basic knowledge of paperwork processes and database management. While a real estate background is not a must, it is preferred. You must be familiar with KVCore, a Customer Relationship Management computer system, although we will teach you the basics.

Candidates must have fantastic telephone skills, including the ability to speak proficiently and professionally to clients on the phone. You must also be able to post to social media platforms and aid clients throughout the buyer and seller process. Reliable transportation to and from work is required, as this is not a virtual job opening.

This role starts as a part-time position with the opportunity to develop into a full-time role and is designed to transition into a management position overseeing all agents on staff and acting as the office manager responsible for daily operations. Compensation:

$20,000 yearly

Responsibilities:
  • Ensure each transaction complies with legalities and any tax withholdings are complete
  • Coordinate schedules to ensure optimal open houses and final walkthroughs, travel arrangements, and general appointments
  • Help organize community outreach events to improve our standing in the local area
  • Complete paperwork for all real estate transactions in a timely manner to ensure a deal is closed as quickly as possible
  • Deliver concierge-level customer service to sellers, buyers, and lenders, to improve customer satisfaction ratings
  • Track important dates and time limits for transactions and notify relevant stakeholders as needed
  • Supervise production of all online marketing materials as well as brochures and flyers for events to professionally represent the real estate team
  • Generate status reports for the team on a regular basis to make sure company targets are being properly prioritized
  • Continue to build skills and knowledge in the real estate industry by attending educational events
Qualifications:
  • Real estate license preferred
  • Available evenings and weekends
  • Understands how to utilize a database for processing client information and how to use Microsoft Office to create necessary documents
  • Prior experience in the real estate industry or as an office manager
  • Excellent written and verbal communication skills
